Account & Onboarding

Do I need to complete my profile before I can use the App?

Yes. After creating your account, you’ll go through a short onboarding flow (identity, domains and focus areas, collaboration intent, and a short bio). Your account isn’t fully active until this is complete, because it’s what powers matching and discovery from your very first session.

Why do I need a profile photo?

Profiles without a photo see dramatically lower connection and collaboration rates. A visible identity is central to how trust works on Kaegora, that’s why it’s required, not optional.

How many times can I change my username?

Up to two times per calendar month. The App shows you how many changes you have left before you attempt one.

I forgot my password. What happens?

Request a reset link from the login screen. The link is valid for one hour. For security reasons, you’ll see the same confirmation message whether or not the email you entered is actually registered, this protects everyone’s privacy and isn’t a bug.

Can someone find out if my email is already registered on Kaegora?

No. Neither at signup nor during password recovery does the App confirm whether a specific email address exists in our system. This is intentional.

Why was my login temporarily blocked?

After several failed login attempts, the App temporarily locks the login button and shows a countdown before you can try again. This is a security measure to protect your account, not an error.

Does my session ever expire automatically?

No. Once you’re logged in, you stay logged in until you explicitly sign out, or until something security-related happens (like changing your password on another device). If you use a shared or public device, remember to sign out manually.

Profile, Privacy & Visibility

Who can see my profile?

You control this with four visibility levels: Public (any user), Network Only (your connections and collaborators only, with a limited preview for everyone else), Link Only (hidden from search/Discover, but visible to anyone with your direct link), and Private (completely hidden).

Is my name always visible, even on Private?

If your profile is set to Private, no one can see it at all, nothing is visible. On every other visibility level (Public, Network Only, Link Only), your name and headline are always shown to anyone who can reach your profile. This is intentional: anonymous profiles aren’t allowed on Kaegora, to keep a baseline of trust across the platform.

Are my contact details ever visible to other users?

No, never, under any visibility setting, to anyone, at any time, just from viewing your profile. Contact details are only revealed to a specific collaborator inside a Collaboration Workspace, and only after both of you have separately confirmed the Contact Unlock stage.

What’s the difference between Quiet Mode, Invisible, and Deactivating my account?

  • Quiet Mode hides you from Discovery and suppresses notifications temporarily, a “do not disturb” mode, account stays fully active.
  • Invisible (an availability status) signals you’re not currently browsing or available, without deactivating anything.
  • Deactivating your account hides your profile entirely and pauses all activity. It’s reversible, logging back in restores everything.

What’s the difference between deactivating and deleting my account?

Deactivating is reversible, your data stays stored and your account can be restored. Deleting is permanent and irreversible, it removes your profile, collaboration history, and messages from our systems. Only deletion counts as exercising your legal right to erasure.

Does a “Verified” work email badge mean the person is really who they claim to be?

Not entirely. It confirms only that the person has access to an email address on that company or institutional domain, not their title, seniority, or authority within the organization. Use reasonable judgment in any professional interaction, verified or not.

Calls & Applications

How many Calls can I apply to on the Free plan?

Three, total, over the entire lifetime of your account, not per month, and it doesn’t reset. Withdrawing an application still counts against this limit. Re-applying after a rejection does not use up a new slot, it’s treated as reactivating the same application.

How many Calls can I publish on the Free plan?

One, total, over the lifetime of your account. Pro removes this limit entirely.

Why can’t I add a personal message to my application or connection request?

Personal messages on applications and connection requests are a Pro feature. Free-tier applications and requests are sent without one.

What happens after I apply to a Call?

Your application sits as “pending” until the Call owner responds. They can accept it (which creates a Collaboration Workspace), reject it (with or without feedback), or simply leave it pending for a while. You can withdraw at any time before a decision is made.

Why does a Call I applied to say “no longer available”?

Calls can be archived automatically once the deadline passes or all spots are filled, or manually by the owner. If a Call you applied to gets archived, you’ll be notified, and the application becomes inactive, this doesn’t affect your Free-tier application count, since it was already used.

Can I send a collaboration invitation directly, without a public Call?

Yes, you can invite a specific person to collaborate directly from their profile or from People & Network, without going through a public Call. Unlike connection requests, these invitations don’t expire on their own; they stay pending until accepted, declined, or withdrawn.

Collaboration Workspaces

What happens when my application is accepted?

A Collaboration Workspace opens automatically, a dedicated chat tied to that specific collaboration. From there, you and your partner move through a two-stage confirmation: first agreeing on the goal, timeline, and scope, then separately confirming you’re both ready to unlock contact details.

Why can’t I see my collaborator’s contact details right away?

Because contact sharing is deliberately gated behind two confirmations, an agreement stage and a separate contact-unlock stage. This ensures both people are genuinely aligned before any personal information changes hands.

What happens if I edit the agreement after my partner already confirmed it?

Both confirmations reset, and you’ll both need to reconfirm from scratch. This exists specifically to prevent anyone from quietly changing agreed terms after the other person has already signed off on them.

My collaborator has gone quiet. What now?

If there’s no activity for a while, the workspace is automatically flagged as “stale,” and you can send a one-time reminder (“nudge”), limited to once every 24 hours. If your partner remains unresponsive, you can formally close the collaboration.

Can I just leave a collaboration without saying anything?

Before both confirmation stages are complete, you can exit through a short confirmation flow. Once a collaboration is active or paused, though, you’ll need to go through the formal “Close Collaboration” flow, with a reason, simply disappearing isn’t an option once things are underway.

What happens to shared contact details after a collaboration ends?

They’re revoked immediately at the data level, not just hidden, so they can no longer be retrieved through the App by either party, regardless of the reason the collaboration ended.

Trust, Reputation & Matching

What is Trust Level, and how do I raise mine?

Trust Level is an automatically calculated badge, Building Reputation, Active, Trusted, Established, or Top Collaborator, based on things like completed collaborations, appreciations received, and your contributions to the platform. Tap the “?” next to your Trust Level for a personalized checklist showing exactly what’s needed to reach the next tier.

Does Trust Level mean the platform is vouching for someone?

No. It’s calculated automatically from real platform behavior, it’s not a certification or guarantee from us about anyone’s competence or trustworthiness. Use it as one signal among several, not a substitute for your own judgment.

How does the App decide who to suggest as a collaborator?

A Compatibility Score, calculated from shared domains, collaboration preferences, openness signals, and skill overlap, ranks suggestions in Discover and the Calls Feed. The exact scoring formula isn’t published, to keep the system fair and resistant to manipulation, but the App shows you specific, honest reasons for each suggestion (e.g., “Shared domain: Technology”).

What’s a “Responsive Owner” badge?

An automatic badge shown on Calls from owners who reliably respond to applications within about 72 hours, based on their behavior over the last 90 days. It updates automatically, no manual action needed.

Free vs. Pro

What’s actually different between Free and Pro?

Free gives you genuine access to browse, apply (up to 3 times, lifetime), publish one Call, and participate fully in any collaboration you’re invited into. Pro removes these volume limits and adds depth features: unlimited applications and Calls, personalized pitches and messages, Call boosting, detailed analytics, priority visibility in Discover, and more.

Is the Free plan intentionally limited to push me toward Pro?

The Free tier is designed to be genuinely useful on its own, browsing, connecting, and completing an invited collaboration all work without paying anything. Pro exists for people who want to scale beyond that, not because Free is deliberately crippled.

What happens to my content if I don’t upgrade or my trial ends?

Nothing is deleted. Content beyond your Free-tier limits (extra Calls, for example) is archived, not removed, and everything becomes accessible again the moment you upgrade.

Do I need a credit card to start my Pro trial?

No. The 30-day Pro trial starts automatically at signup, with no payment method required.

How do I cancel Pro, and do I lose access immediately?

You can cancel any time from the subscription screen or through your Apple/Google account settings. You keep full Pro access until the end of the period you’ve already paid for, cancelling doesn’t cut you off immediately.

I deleted my Kaegora account, does that cancel my subscription?

No. Deleting your account does not automatically cancel an active Apple or Google subscription. You need to cancel it separately through your Apple ID or Google Play settings, or billing may continue.

Can I get a refund?

Refunds are handled by Apple or Google directly, since they process the payment, not by us. See our Refund and Cancellation Policy for details, including EU/UK statutory withdrawal rights.

Blocking & Reporting

What’s the difference between blocking and reporting?

Blocking is private and personal, it stops someone from seeing or contacting you, and they’re never notified. It doesn’t involve us at all. Reporting sends something to our moderation team for review, it’s the only way an issue actually gets our attention.

If I report someone, will they know?

No. Reports are never disclosed to the person being reported, to avoid conflict or retaliation.

Does reporting something get it removed right away?

No. Reported content stays visible while our moderation team reviews it. Reports move through a queue (Pending → Reviewed → Resolved or Rejected).

Can I report an individual message, not just a whole profile?

Yes, you can report a specific message, whether it’s in a Collaboration Workspace or a Direct Message, a specific Call, a specific post or comment, or a Knowledge base resource.

What’s the difference between reporting a Knowledge resource and “flagging” it?

Reporting is for abuse or conduct issues. Flagging is a separate mechanism specifically for quality concerns on Knowledge base resources (a misleading title, wrong category, etc.), it’s not a way to settle a disagreement with the resource’s creator.

Community Feed & Knowledge Base

What’s the difference between the four post types?

Thought is a reflection or opinion. Question invites real input or discussion. Research shares a finding, method, or study you can back up. Experience is a concrete story with a specific lesson, including honest accounts of what didn’t go well.

Can I edit a post after publishing it?

Most content has a 10-minute edit window. After that, edits may be disabled, or, for Research posts, recorded as a version history rather than replacing the original. Take a moment to review before publishing.

If I tag someone as a co-author, does it show up automatically?

No, the person you tag has to explicitly accept the invitation before it appears on their profile or the resource.

What happens if I delete a post that has comments from other people?

Deleting your own content also permanently removes any reactions, comments, or replies others have left on it. Keep that in mind before deleting something with an active discussion.

Can anyone add a resource to the Knowledge base?

Yes, by pasting a link/DOI (which auto-fetches metadata where possible) or entering the details manually. You’re responsible for having the right to reference whatever you add.

Notifications

Can I turn off some notifications but not others?

Yes, Settings lets you configure notifications by category (Collaboration, Network, Knowledge, Messages, Weekly Digest, and more). A master toggle can turn everything off at once, while remembering your individual settings for when you turn it back on.

If I disable a notification category, does the event still get logged somewhere?

No, disabled notifications aren’t generated or delivered at all; they’re suppressed at the source, not just hidden.

Are there notifications I can’t turn off?

A small number of account-related system notifications (like Trust Level upgrades) are always on, aside from the master toggle. Security-critical emails, like password reset links, are also always sent when requested.
