Refund and Cancellation Policy
Kaegora
Last updated: 15 July 2026
This Refund and Cancellation Policy (“this Policy”) describes how subscription purchases, renewals, cancellations, and refunds work for the Kaegora Pro subscription. It is incorporated by reference into our Terms and Conditions and forms part of the agreement between you and Mentheris SRL.
1. How Payments Work
1.1. Kaegora Pro subscription purchases, renewals, and cancellations are processed exclusively through Apple’s In-App Purchase system (iOS) and Google Play Billing (Android), managed via RevenueCat as our subscription infrastructure provider.
1.2. Mentheris does not directly process, receive, or store your payment card number, expiry date, CVV, or other full payment credentials at any point. Apple and Google act as the merchants of record for your purchase, under their own respective terms:
- iOS: Apple Media Services Terms and Conditions
- Android: Google Play Terms of Service
1.3. Because Apple and Google are the merchants of record, certain aspects of billing, refunds, and payment disputes are ultimately governed by their policies, not solely by this Policy. Where this Policy and Apple’s or Google’s policies conflict regarding the payment transaction itself, the applicable platform’s policy governs that specific aspect.
2. Subscription Plans and Pricing
2.1. Kaegora offers a Free tier (no cost, no payment method required) and a paid Pro tier. New users can activate a 30-day free trial of the Pro tier. After the trial ends, the Pro subscription is currently priced at €11/month or €111.99/year (or the equivalent in your local currency and displayed price, which may include applicable taxes as required by your app store and jurisdiction).
2.2. Prices displayed in the App may change from time to time. Any price change affecting your active subscription will be communicated to you in accordance with Apple’s and Google’s applicable policies on notifying subscribers of price changes, and will not take effect for your existing subscription until you affirmatively accept it (or, where platform rules allow silent price increases below a certain threshold, as permitted by the applicable store’s policy).
3. Free Trial
3.1. New users receive a seven (30) day Pro trial automatically upon signup, requiring no payment method at signup.
3.2. During the trial:
All Pro features are fully accessible - A visible indicator in the App shows “Pro Trial N days remaining,” which turns amber in the final 24 hours
3.3. Before the trial ends:
You will receive a notification approximately 24 hours before the trial expires, informing you that Pro access is ending soon
3.4. At trial expiry, if you have not upgraded:
Your account automatically reverts to the Free tier
All data and content created during the trial (reading lists, academic notes, advanced-composer posts, etc.) remains fully accessible, nothing is deleted
You may no longer create new Pro-exclusive content until you upgrade
Any usage that exceeds Free-tier limits (for example, additional published Calls beyond the Free-tier limit of one) is automatically archived, not deleted, with a notification explaining what happened and how to restore it by upgrading
3.5. If you choose to upgrade to Pro during the trial period, billing begins from the date of upgrade, you are not charged for trial days already used.
3.6. The 30-day trial is offered once per account. It is not renewed or repeated upon account deletion and recreation, or upon subscription cancellation and re-subscription, except at Mentheris’s sole discretion.
4. Subscription Status Reference
At any given time, your subscription is in one of the following states:
| Status | Meaning | Pro Access |
|---|---|---|
| Trialing | 30-day trial active | Full access |
| Active | Paid subscription current | Full access |
| Cancel Scheduled | Cancelled, but access continues until the end of the current billing period | Full access until period end |
| Expired | Trial ended without upgrading | Free-tier access applies |
| Canceled | Subscription period has ended after cancellation | Free-tier access applies |
5. How to Cancel
5.1. You may cancel your Pro subscription at any time from within the App’s subscription details screen, or directly through your Apple ID or Google Play account subscription settings.
5.2. Cancellation does not immediately revoke Pro access. When you cancel, your subscription moves to “Cancel Scheduled” status: you retain full Pro access until the end of the billing period you have already paid for. At the end of that period, your subscription becomes “Canceled” and your account reverts to the Free tier.
5.3. You may reactivate a “Cancel Scheduled” subscription at any time before the current billing period ends, restoring it to “Active” status without interruption.
5.4. Cancelling your subscription does not delete your account or any of your data. See Section 7 for what happens to your content and features when Pro access ends.
5.5. Deleting your Kaegora account does not automatically cancel an active Apple or Google subscription. If you delete your account while a paid subscription is active, you must separately cancel the subscription through Apple’s or Google’s subscription management tools to stop future billing; otherwise, billing may continue even though your Kaegora account no longer exists.
6. Refunds
6.1. Refunds are handled by Apple and Google, not by Mentheris. Because all payments are processed through Apple’s In-App Purchase system and Google Play Billing, refund requests must be submitted directly through:
- iOS: reportaproblem.apple.com, or via Settings → [your name] → Subscriptions on your Apple device
- Android: Google Play’s refund request process, or via the Google Play Store app → Menu → Subscriptions
6.2. Mentheris does not have the technical ability to directly issue a refund for an Apple or Google in-app purchase, and cannot guarantee the outcome of a refund request submitted to Apple or Google, as these decisions are made solely by the respective platform under its own policies.
6.3. EU/EEA and UK consumers, statutory withdrawal right. If you are a consumer located in the European Union, the European Economic Area, or the United Kingdom, you may have a statutory right to withdraw from a digital service purchase within 14 days of the purchase, without giving any reason, under applicable consumer protection law (e.g., the EU Consumer Rights Directive 2011/83/EU as implemented in your country of residence).
However, this right is typically lost if:
You have expressly requested that the service begin immediately during the withdrawal period (which you generally do by activating the trial or subscription and beginning to use Pro features), and
You have acknowledged that you thereby lose your right of withdrawal once performance has begun
By starting your Pro trial or activating a paid subscription and using Pro features, you acknowledge and expressly request that performance begin immediately, and you accordingly acknowledge that your statutory withdrawal right may be lost once you have started using the service, to the extent permitted under the law of your country of residence. Where applicable law does not permit this loss of the withdrawal right in the circumstances of your purchase, your statutory rights remain unaffected by anything in this Policy.
6.4. Nothing in this Policy limits any refund rights you may have directly against Apple or Google under their own consumer-facing refund policies, which may be more generous than the statutory minimum in some cases.
6.5. Requests for a refund based on dissatisfaction with the Service, a change of mind, or non-use of Pro features (as opposed to a technical failure of the Service) are generally not something Mentheris can grant directly and must be directed to Apple or Google as described in Section 6.1.
7. What Happens When Pro Access Ends
Whether due to cancellation, trial expiry, or a failed renewal payment, when your account reverts from Pro to Free, the following applies. Nothing described below results in permanent deletion of your content, everything is preserved and can be restored by upgrading again.
| Feature | What happens on downgrade |
|---|---|
| Published Calls beyond the Free-tier limit (1 lifetime) | Automatically archived, not deleted. You are notified and can restore by upgrading. |
| Reading lists | Remain fully visible to you and others, but become read-only, you cannot add new resources or edit list settings until you upgrade again. |
| Academic notes (already written) | Remain visible to all readers. You cannot write new notes until you upgrade again. |
| Workspace notes (in active collaborations) | Existing notes remain visible to both participants. No new notes can be added by the downgraded User. |
| Smart search / saved alerts | Preserved, but automatic delivery is paused. Must be manually re-enabled after upgrading. |
| Advanced composer content (posts with citations, polls, co-authors, etc.) | Existing posts remain fully visible and unchanged. No new posts using Advanced fields can be created until upgrading. |
| Direct Messages (Pro feature between connections) | Existing conversation history remains visible. Sending new Direct Messages may be restricted until you upgrade again. |
| Pending connection requests / applications beyond Free limits | Existing ones remain in place; new ones beyond the Free-tier limits cannot be created until you upgrade. |
8. No Permanent Restriction of Core Access
8.1. Free-tier limitations apply only to the specific advanced features and volume limits described in this Policy and in the Terms and Conditions, Section 14. We do not permanently block a Free-tier User’s access to the App’s core functionality.
8.2. Where a Pro-gated action is attempted, the App will show you a Paywall explaining the specific value of upgrading in that context. You always retain the ability to select “Maybe later” and continue using the App within the applicable Free-tier limits, nothing is a mandatory upgrade.
9. Billing Disputes and Chargebacks
9.1. If you believe you were incorrectly charged, please first contact Apple or Google support (Section 6.1), as they hold the transaction records and are best positioned to investigate and resolve billing errors.
9.2. Initiating a chargeback or payment dispute directly with your bank or card issuer, rather than using Apple’s or Google’s refund process, may result in the automatic suspension of Pro features on your account by the respective platform, independent of any action by Mentheris.
10. Changes to This Policy
We may update this Policy from time to time, including to reflect changes in pricing, features included in each tier, or applicable law. Material changes will be communicated through an in-app notice and/or by updating the “Last updated” date at the top of this document, consistent with how we handle changes to our Terms and Conditions.
